Sound familiar?

Your terms say 30 days. Your customers pay in 60.

The pallets went out on time. The money didn't come back on time. In between, you're the one paying for your customers' stock.

  • A customer who's still behind orders again. You ship it, because you don't want to lose them.
  • A lump sum lands with no reference, and nobody can work out which invoices it's for.
  • Your own suppliers, some of them overseas, want paying on time while your cash is out with customers.
  • Chasing a good customer feels awkward. So it waits another week.

You don't have a customer problem. You have a nobody-has-time-to-chase problem.

If you've delivered the goods, you should get paid for them. On time.

And you shouldn't have to be the bad guy to get it.

What changes

Your terms. Your cash. Your call.

  • Before: Day 52 and still waiting

Paid on your terms, not theirs.

Customers hear from your accounts team before the due date, and get a call when they slip.

  • Before: Four more pallets to a customer who owes you $9,140

Know who's behind before you ship them more.

Ship it or hold it: your call, never ours. You just make it knowing who owes what.

  • Before: Did we pay that container already?

Suppliers paid on time. Never twice.

Every bill checked and lined up for you. You approve it in your own bank.

  • Before: Guessing from the bank balance

You always know where the cash stands.

One short list every week, and books ready whenever your accountant asks.

Meet your accounts team

You didn't build a wholesale business to chase invoices.

You built it on getting the right stock to the right customers. Chasing money and keeping the books straight is a different job, and it shouldn't eat your evenings.

So hand it to people who do it all day: our own bookkeepers and accounts officers in Manila, employed by WorkAid. Manila is two to three hours behind Sydney, so our working day overlaps yours.

Three steps to getting paid on time.

Step one takes a few minutes on your phone, between deliveries.

  1. Send us your numbers.

How many invoices you send and bills you get each month. A rough guess is fine.

  2. Get your fixed price.

One monthly price for the lot. Nothing starts until you say yes.

  3. We start chasing.

We set you up, bring your books up to date, then get onto the customers who are behind.

How it works

The stock goes out. The money comes back.

  1. We remind them.

Your customers hear from you before the due date, politely, with the invoice right there. No hunting for the PDF. No “we never got it”.

  2. We call them.

Rhea V. calls their accounts team, gets a date, and holds them to it. You don't make the awkward call. Customers you want handled gently are handled gently, and anything that needs a decision comes to you.

  3. You get paid.

The money lands in your account and the invoice comes off the list. Every week you see who's paid, who's promised and who needs a word from you.

Questions

What wholesalers ask us first.

Something else? hello@workaid.io

Will my customers know it's not me?

They hear from your accounts team, which is what we are. Emails go from your accounts address in words you've approved. Calls are made by our team in Manila, every one with at least two years on Australian clients. They follow the rules you set: who's handled gently, what we can agree, and what comes back to you first.

Will chasing upset my best customer?

You decide who's handled gently, whether it's your biggest trade account or a customer you've had for years. Tell us which customers get a softer touch, and anything sensitive comes to you before we act. If an invoice gets to 30 days overdue, it's your call what happens next: hold supply, a payment plan or a collection agency. We prepare the file.

Can you touch my money?

No. We check your supplier bills and line them up for you to pay. You approve the payments and release them in your own bank. We never hold your money and never approve a payment.

I'm flat out. Who sets it up?

We do. Onboarding sets up your reminders, your supplier list and your reports, and brings your books up to date. You answer a few questions and approve the wording. We take it from there.

Do I have to change software?

No. We work in your own Xero or MYOB file. Your stock and payment apps keep feeding it exactly as they do now, and your books stay yours.

A customer paid one lump sum for six invoices. Can you sort that out?

Yes. You’ll see exactly which invoices it paid off and which are still owing. When it isn’t clear, we ask the customer, not you.

Can you pay my suppliers, overseas ones too?

We get every bill ready for you to pay, from local and overseas suppliers alike: checked against what you ordered, what turned up and the price you agreed, with duplicates and price rises queried with the supplier first. You approve and release every payment in your own bank.

Do you lodge my BAS?

No. In Australia only a registered BAS or tax agent can provide BAS services for a fee. We get your books ready to lodge and they go to your own accountant or BAS agent. If you don't have one, we'll introduce a registered agent we work with. If you also run a business in the Philippines, BIR filings go through our CPA partner there.

How is my price worked out?

By how much comes through each month: the invoices you send, the bills you get and the transactions through your bank account. You get one fixed monthly price, in writing, before we start. It's billed monthly in advance in Australian dollars, and it doesn't change with the hours we spend.

What is the onboarding fee for?

Setting up your reminders, your supplier list and your reports, and bringing your books up to date. It's A$500–1,500 one-off, depending on how far behind the books are, and it's paid with your first month, before work starts.

Who actually does the work?

Bookkeepers and AP/AR officers employed by WorkAid in Manila. Every one has at least two years on Australian clients, in Xero or MYOB. Manila is two to three hours behind Sydney, so our working day overlaps yours, and our quality assurance is led by a CPA, Sharon P.

Can you automate parts of my admin?

Once you’re a client, yes. Each automation project has a fixed price, A$1,500–5,000, plus a small monthly support fee. We start with what matters most: getting your invoices paid and your bills sorted.

What happens if a payment fails?

We bill monthly in advance. If a payment fails, work pauses until it clears. Your books, your file and your logins stay yours throughout.
