Sound familiar?

On the tools all day. Invoices at night.

You knock off, get home, eat, and then the second shift starts: the kitchen table, the laptop, and the list of who still owes you.

  • The builder pays in 60 days. Your merchant account is due in 30.
  • The strata manager sits on the invoice for weeks.
  • The job was finished six weeks ago. It still isn't paid.
  • Ringing a good customer about money feels awkward. So it waits another week.

You don't have a builder problem. You have a nobody-has-time-to-chase problem.

If you've done the job, you should get paid for it. On time.

And you shouldn't have to be the bad guy to get it.

The call nobody wants to make

Reminder apps book the call. We make it.

The builder who's 60 days late. The strata manager who's sat on your invoice for three weeks. Ringing them is the job nobody wants, so it waits. We make those calls for you, as your accounts team, in words you've approved. Then we tell you who promised to pay, and when.

What changes

Paid for the work. Evenings off.

  • Before: Ringing the builder from the ute. Again.

The money comes in. You never had to ask.

Builders, strata managers and one-off customers all hear from your accounts team, on time, every time.

  • Before: Invoices at the kitchen table, 9pm

    Your nights back.

The chasing, the bills and the books get done during the day, while you're on the job.

  • Before: Merchant statement on the dash. Did I pay that?

Merchants paid on time. Never twice.

Every bill checked and lined up for you. You approve it in your own bank.

  • Before: Scrolling the job list at 10pm to work it out

You always know who owes you.

One short list every week, and books ready whenever your BAS agent asks.

Meet your accounts team

You're a plumber. Not a debt collector.

You're good at the work. Chasing builders for money and keeping the books straight is a different job, and it shouldn't eat your nights.

So hand it to people who do it all day: our own bookkeepers and accounts officers in Manila, employed by WorkAid. Manila is two to three hours behind Sydney, so our working day overlaps yours.

Three steps to your nights back.

Step one takes a few minutes on your phone, in the ute between jobs.

  1. Send us your numbers.

How many invoices you send and bills you get each month. A rough guess is fine.

  2. Get your fixed price.

One monthly price for the lot. Nothing starts until you say yes.

  3. We start chasing.

We set you up, bring your books up to date, then get onto the builders and everyone else who owes you.

How it works

You stay on the tools. The money still comes in.

  1. We remind them.

The builder's accounts team hears from you before the due date, politely, with the invoice right there. No “we never got it”. No 10pm email from you.

  2. We call them.

Rhea V. rings the builder or the strata manager, gets a date, and holds them to it. You don't make the awkward call. Customers you want handled gently are handled gently, and anything that needs a decision comes to you.

  3. You get paid.

The money lands in your account and the job comes off the list. Every week you see who's paid, who's promised and who needs a word from you.

Questions

What plumbers ask us first.

Something else? hello@workaid.io

Will the builder know it's not me?

They hear from your accounts team, which is what we are. Emails go from your accounts address in words you've approved. Calls are made by our team in Manila, every one with at least two years on Australian clients. They follow the rules you set: who's handled gently, what we can agree, and what comes back to you first.

Will chasing upset my best builder?

You decide who's handled gently, whether it's the builder who gives you the most work or a strata manager you want to keep. Tell us which customers get a softer touch, and anything sensitive comes to you before we act. If an invoice gets to 30 days overdue, it's your call what happens next: stop work, a payment plan or a collection agency. We prepare the file.

Can you touch my money?

No. We check your merchant bills and line them up for you to pay. You approve the payments and release them in your own bank. We never hold your money and never approve a payment.

I'm flat out. Who sets it up?

We do. Onboarding sets up your reminders, your merchant list and your reports, and brings your books up to date. You answer a few questions and approve the wording. We take it from there.

Will it work with my job app?

Yes. Whether you use ServiceM8, simPRO, Tradify or AroFlo, it keeps sending invoices to your Xero or MYOB file exactly as it does now. We work in that file. Nothing new to learn, and your books stay yours.

My strata managers want the work order number. Can you handle that?

Yes. Every reminder goes out with your invoice attached, so the work order number on it goes too. If a strata manager still wants something only you have, we ask you once and send it on.

Can you pay my merchants?

We get every merchant bill ready for you to pay: checked against what you ordered and the price you agreed, with duplicates and price rises queried with the merchant first. You approve and release every payment in your own bank.

Do you lodge my BAS?

No. In Australia only a registered BAS or tax agent can provide BAS services for a fee. We get your books ready to lodge and they go to your own accountant or BAS agent. If you don't have one, we'll introduce a registered agent we work with.

How is my price worked out?

By how much comes through each month: the invoices you send, the bills you get and the transactions through your bank account. You get one fixed monthly price, in writing, before we start. It's billed monthly in advance in Australian dollars, and it doesn't change with the hours we spend.

What is the onboarding fee for?

Setting up your reminders, your merchant list and your reports, and bringing your books up to date. It's A$500–1,500 one-off, depending on how far behind the books are, and it's paid with your first month, before work starts.

Who actually does the work?

Bookkeepers and AP/AR officers employed by WorkAid in Manila. Every one has at least two years on Australian clients, in Xero or MYOB. Manila is two to three hours behind Sydney, so our working day overlaps yours, and our quality assurance is led by a CPA, Sharon P.

Can you automate parts of my admin?

Once you’re a client, yes. Each automation project has a fixed price, A$1,500–5,000, plus a small monthly support fee. We start with what matters most: getting your invoices paid and your bills sorted.

What happens if a payment fails?

We bill monthly in advance. If a payment fails, work pauses until it clears. Your books, your file and your logins stay yours throughout.
